SENIOR ADMINISTRATOR (PART TIME 0.6)
£21,000 - £23,000 per annum pro rata.
Fixed term 12-month contract with the possibility of renewal.


Volcano Theatre Company is seeking to recruit a new member of staff who will have responsibility for the general administrative functions of the company and its premises. The position is based at the company premises at 229 High Street, Swansea.

The successful candidate will be a versatile, reliable and confident individual with excellent administrative and interpersonal skills. She or he will be based in the Swansea area and able to demonstrate a commitment to the area and a working knowledge of the city and its cultural, social and economic environments.

The position requires the ability to work to deadlines and to respond in a flexible way to the changing demands of a small, busy arts company with a broad range of activities. Knowledge of the theatre sector is not essential, but we are looking for an interested, broad-minded person who learns quickly and values excellence and distinctiveness in the arts and creative industries.

The company ethos is forthright, democratic and inclusive. It is light on hierarchy but strong on communication and responsibility. Company members share everyday tasks in an equal manner, take primary responsibility for their own job development and are expected actively to help shape the working environment by contributing their ideas and using initiative within their roles.

The Senior Administrator will work closely with the Marketing & Communications Manager, Admin & Marketing Assistant and Book-keeper, and will report directly to the Artistic Director and to the Board.

SENIOR ADMINISTRATOR: TASKS

General
Work collaboratively on fundraising, event and project planning, reporting and business planning.
Maintain good relationships with local and industry stakeholders, funders  and partners.
Contribute actively to the company’s vision and strategy.

Company Administration
Deal with general enquiries.
Maintain office and IT systems and records.
Issue invoices and payments.
Produce cashflow forecasts, working budgets and management accounts and liaise with book-keeper for effective financial planning.
Produce financial reports and statements.
Manage contracts with suppliers for best service and value.
Manage vehicle and equipment hires.
Provide logistic and practical support for the company on tour.

Premises Management
Manage a booking diary for the rehearsal/event space at 229 High Street.
Meet with visitors and potential users of the space.
Manage maintenance schedule for the premises.
Ensure compliance with relevant health & safety requirements.
Manage keyholders and third-party access to premises.

Human Resources
Help to recruit, supervise and support junior or temporary staff and volunteers.
Draw up and issue contracts for employed and freelance staff.
Ensure compliance with relevant employment law and best practice.
